How can I get on the state of Georgia bid list to obtain e-mail notification on contract opportunities?
The Vendor Registration System serves as the central site for vendors to register to do business with the state of Georgia. To receive e-mail notifications on contract opportunities, vendors must register with the state and during this process will indicate Yes or No to “Receive Bid Notices”.
How will my firm receive bid notifications for all products and services that we provide?
DOAS has a web-based Vendor Registration System that enables vendors to register their firms with the state of Georgia through the DOAS Web site. The registration system is “vendor maintained.” At the time of registration, vendors must select the products and services provided by their firm using NIGP codes. It is highly recommended that vendors carefully select the NIGP commodity codes that most accurately reflect the goods and services their company provides. Also, the system has an option allowing vendors to receive automatic electronic notification of bid opportunities with the state of Georgia as well as with other governmental entities within the state through the Georgia Procurement Registry.
There is no guarantee or assurance that use of the Vendor Registration System will result in notification of any or all relevant procurements. In order to view all bid opportunities, it is the vendor’s responsibility to review the Georgia Procurement Registry on a routine basis.
What if I experience problems receiving bid notifications from DOAS State Purchasing?
If experiencing problems receiving e-mail solicitations verify the accuracy of your profile in the Vendor Registration System and update profile if needed. Otherwise, you may call the Purchasing Helpdesk at 404-657-6000.
If I need to change or update company information in the Vendor Registration System, to whom do I provide these changes?
DOAS State Purchasing does not update the Vendor Registration System. It is the company’s responsibility to maintain and assure the accuracy of the profile data in the Vendor Registration System. The system allows you to edit, change, add, or delete your profile information at any time. DOAS State Purchasing encourages you to check and update your information on a regular basis.
What is the difference between registration & certification?
Registration means that: 1) your business will now be available to state purchasing officers as a source for solicitation of contracting opportunities; and 2) you will receive electronic notification when a bid opportunity occurs in your specific business category, if you so choose. (Registration is open to any business wishing to enter into a business contract with the State of Georgia.
Certification (as used in this registry) is a process open only to minority business enterprises. Certified vendors have met a specific set of criteria which validates their minority status and makes them eligible for a wider range of state and federally funded contracts. How long will my registration last? Will I be notified when it expires?
The information in your vendor profile will be valid for 365 days from the date it is entered. You will receive e-mail notification 30 days prior to its expiration to allow you to easily verify your current information. This will serve as a reminder to review your profile information in case of changes during the year and will allow state purchasing officers to have a more accurate listing of vendors wishing to do business with the state. Failure to do so will result in your registration profile being place on in-active status.
Why is it necessary to re-register on an annual basis?
The state of Georgia is working to create a more accurate source of vendors for all state purchasing officers. Annual registration requirements, including the bid-notification service, benefit both the purchasing officers and vendors by helping to ensure accurate data is available for pending and future contracts.
Does this registration means that I am now on State Contracts?
This registration means that: 1) your business will now be available to state purchasing officers as a source for solicitation of contracting opportunities; and 2) you will receive electronic notification when a bid opportunity occurs in your specific business category, if you so choose. Vendors are only placed on state contracts after a bid has been entered, evaluated, accepted and awarded.
I have a unique business and I cannot find a NIGP code to select. What should I do?
Review the NIGP Codes listing on the State Purchasing Website and determine the NIGP code that is the closest or related to your type of business. Also check the Misc. NIGP code category.
Is a woman-owned business considered a minority business?
Woman-owned businesses are not considered minority businesses in the State of Georgia. Minority, in the State of Georgia, is based on ethnicity, not gender. The State of Georgia recognizes five (5) minority groups; Asian American, Native American, African American, Hispanic/Latino and Pacific Islander.
How does the state of Georgia define Small Business?
"Small Business" means a business which is independently owned and operated. In addition, such business must have either fewer than 100 employees or less than $1 million in gross receipts per year.
What is an approved vendor list?
Vendors having successfully completed a solicitation process and are sellers in a Multiple-Award Contract for particular products or services. (example: Statewide Contract for Office Furniture)
What is a Surplus Dealer?
A Surplus Dealer is someone who sells excess or used equipment.
What is "Local Supply/Service Only"?
This category will identify you as a business that is NOT interested in statewide contracts, but only bids that will provide services in the counties you have chosen. If you ARE interested in providing services statewide, do not select this category.
What is a 1099 vendor?
This means the State is required to file Form 1099 MISC if services have been received from your company. It applies primarily to vendors who provide "services" and excludes corporations, unless the service provided is for medical or health care services or attorneys fees. Vendors who are service providers and are not incorporated should therefore indicate that they are 1099 vendors and provide the requested information.
What is a government vendor?
A "government vendor" is a government entity (state, federal, or local) that wishes to register to provide services to State of Georgia government agencies. The registrant should select this category only if they are themselves a governmental entity.
What is an S-Corporation?
An "S-Corporation", in this instance, refers to federal tax laws that are applicable to a particular corporation. ***Note: Questions about the meaning of this designation should be addressed to the Internal revenue Service.
What is a FEI (or FEIN) number?
The FEIN number is the "Federal Employer Identification Number", also known as the "Federal Tax Identification number".
I applied for a Federal Tax ID (FEIN) and I am waiting on the number. Can I use my Social Security Number and change it when I get my FEIN number?
Yes, we will use your Social Security Number during the interim. When your FEIN number has been received, it will be necessary for you to contact the System Administrator in order to change your Vendor Profile.
What is a primary contact address?
The primary contact address is the primary address in your vendor profile. It should be the address where you wish to receive information about bid opportunities with the state and/or legal correspondence related to state contracts.
